Problem Statement Description
You are evaluating whether an event technology platform should invest in a returns management portal for event organizers. These organizers run conferences, concerts, festivals, sports events, fundraisers, or community events, and they often deal with attendee refund requests, ticket transfers, cancellations, policy exceptions, partial refunds, chargebacks, and post-event disputes. Today, much of this work may be handled through manual support tickets, spreadsheets, email approvals, or platform-side customer support, creating uncertainty for organizers and friction for attendees.
The strategic question is whether a dedicated portal would materially improve organizer confidence in renewing with the platform. Renewal confidence may be influenced by perceived control, reduced operational burden, clearer financial reconciliation, better attendee trust, fewer support escalations, and confidence that the platform can handle complex real-world event scenarios.
You should make a clear investment recommendation, but the focus is not to design the full product. Instead, assess the market need, customer segments, business impact, strategic fit, opportunity cost, risks, and decision criteria that would determine whether this is worth building now versus deferring, partnering, or solving through lighter-weight workflow improvements.
The experience should consider:
- Which event organizer segments have the highest returns-related pain and renewal risk, such as large venues, recurring conferences, seasonal festivals, or high-volume ticket sellers
- The current returns workflow, including refund policy setup, attendee requests, organizer approvals, payment reversals, ticket inventory updates, and reconciliation
- Whether the problem is frequent, expensive, and strategically important enough to influence renewals, retention, expansion, or support costs
- Alternative options, such as improving support tooling, adding self-serve refund rules, offering managed services, integrating with finance systems, or prioritizing other organizer retention features
- The platform’s right to win, including access to ticketing, payments, attendee identity, event policies, and transaction data
- Trade-offs around fraud, chargebacks, payment compliance, organizer autonomy, attendee experience, and operational complexity
- Key risks, including low adoption, edge-case complexity, organizer policy inconsistency, liability exposure, and limited measurable impact on renewal decisions
- Decision gates and success signals, such as customer validation, pilot adoption, reduction in support contacts, refund processing time, NPS/CSAT movement, retention lift, and revenue protection
Your goal is to frame the investment decision as a strategy recommendation: whether to invest, at what level of ambition, for which customer segment first, and under what assumptions or milestones the decision should be revisited.
