Problem Statement Description
You are evaluating how to scale a small-business CRM used by operations managers who coordinate sales follow-ups, customer issue resolution, staffing handoffs, task prioritization, and pipeline visibility. As businesses grow, these managers depend on CRM data to make daily decisions about which customers need attention, which teams are overloaded, which deals or accounts are at risk, and where process bottlenecks exist.
The current CRM experience must support larger customer datasets, more concurrent users, more workflow automation, and more integrations with tools such as email, calendars, billing, support, messaging, and analytics systems. Scaling the product introduces technical trade-offs across performance, data freshness, reliability, customization, automation complexity, permissions, reporting accuracy, and cost.
Your task is to evaluate these trade-offs from a Technical PM perspective. Focus on how architecture and platform choices affect decision quality for operations managers, not just system throughput. Consider what data needs to be available, trusted, timely, explainable, and actionable for managers making operational decisions.
The experience should consider:
- Core CRM workflows for operations managers, including task assignment, customer prioritization, pipeline review, escalation tracking, and team performance monitoring.
- Data requirements across contacts, accounts, interactions, tasks, opportunities, support cases, activity logs, and external integrations.
- Trade-offs between real-time updates, batch processing, caching, data consistency, latency, and reporting accuracy.
- API and integration design for syncing with email, calendar, billing, support, marketing, and communication tools.
- Reliability, availability, observability, and incident response expectations for a business-critical operations system.
- Privacy, security, access control, auditability, and compliance needs for customer and employee activity data.
- Rollout approach for scaling architecture changes without disrupting existing small-business customers.
- Product trade-offs between configurability, simplicity, automation depth, performance, and engineering complexity.
The goal is to assess how you reason through technical product decisions that affect the quality of operational decisions made inside small businesses. Your response should clarify the user needs, identify the key technical constraints, compare meaningful implementation options, surface risks and dependencies, and explain how you would evaluate whether the scaled CRM is helping operations managers make better, faster, and more trusted decisions.
