Problem Statement Description
Event organizers often need to capture urgent observations from staff, volunteers, security teams, vendors, or attendees while an event is live. Voice notes can be faster than typing during crowded, noisy, high-pressure situations, especially when incidents involve safety, logistics, crowd flow, medical needs, equipment failures, or venue operations.
You are evaluating how to scale a voice note capture capability whose primary product goal is incident response. The experience must help organizers quickly record, submit, route, and act on voice-based incident reports without creating operational confusion, data risk, or unreliable workflows during peak event moments.
As a Technical PM, your task is to reason through the technical trade-offs behind this capability: what must be captured, how voice data should move through the system, what processing should happen in real time versus later, how reliability should be designed for live events, and how the product should balance speed, accuracy, privacy, and cost.
The experience should consider:
- The end-to-end workflow for reporters, incident coordinators, and responders from voice capture to triage and resolution.
- Requirements for audio upload, transcription, metadata, tagging, prioritization, routing, and integration with incident-management tools.
- Trade-offs between on-device, edge, and cloud processing for latency, accuracy, offline use, cost, and scalability.
- Reliability needs during poor connectivity, high concurrency, background noise, low battery, and event peak periods.
- Privacy, consent, retention, access control, and security considerations for sensitive audio and incident data.
- Observability needs, including system health, processing delays, failed uploads, transcription quality, and response-time tracking.
- Rollout strategy, including pilots, fallback workflows, operational training, and safeguards before scaling to larger events.
- Product trade-offs between fast reporting, structured data quality, user burden, and responder trust in the captured information.
The goal is to frame a technically sound product approach that enables faster and more dependable incident response for event organizers, while clearly articulating the key engineering decisions, risks, constraints, and trade-offs that would shape the product at scale.
