Design an AI meeting assistant for new users that improves activation

Problem Statement Description

You are designing an AI meeting assistant experience for people who have just signed up and have not yet reached meaningful product activation. The product can join or connect to meetings, capture key moments, summarize discussion, identify action items, and help users review or share outcomes after the meeting. The challenge is not to design every possible AI capability, but to create a first-use experience that helps new users quickly understand the value, trust the assistant, and successfully use it in a real meeting workflow.

Focus on the activation journey from sign-up through the user’s first successful meeting-related outcome. New users may be uncertain about setup, permissions, calendar access, recording consent, data privacy, accuracy, or how the assistant fits into their existing tools. They may also be joining meetings across different contexts, such as sales calls, internal team meetings, interviews, customer support calls, or project reviews.

Your design should consider the practical friction points that prevent activation: connecting a calendar or conferencing tool, inviting the assistant, explaining AI-generated notes, handling consent, recovering from setup failures, and showing value quickly after the meeting. Assume the product must be usable by a broad range of users, including people who are not deeply technical and who may be skeptical of AI in workplace conversations.

The experience should consider:

- Who the primary new user is and what “activation” means for them in this product context

- The end-to-end first-use workflow before, during, and after a meeting

- Key user anxieties around privacy, consent, accuracy, and control

- How the product communicates value without overwhelming the user with features

- What minimum setup is required versus what can be deferred

- How the assistant behaves when permissions, integrations, or meeting access fail

- How generated outputs such as summaries, decisions, and action items are reviewed, edited, or shared

- Accessibility, responsible AI expectations, and trust-building for a global user base

The goal is to define a product experience that increases the likelihood that a new user completes a meaningful first meeting workflow and recognizes enough value to continue using the assistant. Focus on user needs, workflow design, activation moments, constraints, and trade-offs rather than proposing a generic AI feature list.
