Design an inbox triage workflow for enterprise admins that improves response time

Problem Statement Description

Enterprise admins often manage a high-volume shared inbox for requests, alerts, escalations, approvals, security notices, provisioning issues, billing questions, and internal stakeholder messages. These admins are typically responsible for keeping business-critical workflows moving while coordinating across IT, security, finance, support, and end users.

Design a product experience that helps enterprise admins triage incoming items faster and respond more reliably. Focus on the workflow from message arrival through prioritization, assignment, action, follow-up, and resolution. Consider that admins may work across multiple teams, time zones, permission levels, and service-level expectations.

The goal is not simply to create a better email inbox, but to design an admin-facing triage system that reduces missed items, clarifies urgency, supports collaboration, and improves response time without creating extra operational burden.

The experience should consider:

- Who the primary and secondary users are, including enterprise admins, delegated admins, team leads, and request originators

- The types of inbox items admins receive and how urgency, business impact, and ownership differ across them

- How admins identify what needs attention now versus what can wait

- How assignment, escalation, status tracking, and handoffs should work in a shared workflow

- How the product should handle permissions, auditability, compliance, and sensitive enterprise data

- How notifications, reminders, filters, automation, or prioritization might reduce friction without overwhelming users

- How admins understand whether response time is improving and where bottlenecks remain

Your goal is to define the user problem, key workflows, product requirements, and success criteria for an inbox triage experience that helps enterprise admins respond faster while maintaining trust, accuracy, and control.
